Rental Application Process: How to Apply for a Property
Found your ideal rental home? Great, the hard part is over! Here’s what to expect
next when applying for a property with My Lettings, trusted letting

Step 1: Complete the Rental Application
Each person who will be named on the Occupation Contract must fill out an
application form. This ensures we can carry out the necessary referencing and
affordability checks, and confirm that the property is suitable for your
circumstances.
Step 2: Pay a Holding Deposit
To reserve the property, we require a holding deposit equivalent to one week’s
rent. This payment holds the home for you while we complete your checks.
Step 3: Referencing & Affordability Checks
We carry out full referencing on each applicant, including credit checks, income
verification, and previous landlord or employer references, to ensure a smooth and
compliant tenancy.
Step 4: Sign the Occupation Contract
Once your application is approved, we’ll arrange a time for you to visit our office in
Caerphilly to:

Review and sign your Occupation Contract 
- 
Arrange a check-in date and time 
- 
Ask any final questions about your new home 
Step 5: Move-In Day – Check In
At your check-in appointment, you’ll receive:
- 
A signed copy of your Occupation Contract 
- 
The Inventory & Schedule of Condition (with photos) 
- 
A valid Gas Safety Certificate 
- 
An up-to-date Energy Performance Certificate (EPC) 
- 
An up-to-date Electrical Installation Condition Report (EICR)

Holding Deposit - to reserve a property
The rent - as agreed in the occupation contract
Security Deposit - as agreed in the occupation contract
Unpaid rent - Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears.
LOST KEY(S) OR OTHER SECURITY DEVICE(S)
Contract Holders are liable for the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the contract holder, landlord any other persons requiring keys will be charged to the contract holder.
EARLY TERMINATION (CONTRACT HOLDERS REQUEST)
Should the contract holder wish to leave their contract early, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the contract until the start date of a replacement contract. These costs will be no more than the maximum amount of rent outstanding on the contract.
Payments for defaulting on your Occupation Contract - There are certain occasions where the actions of the contract holder can cause the Landlord to incur a cost during the contract, where it would be unfair on the landlord to be responsible for the loss. In these instances, the loss incurred will be passed on to the Contract Holder(s), alongside an invoice to demonstrate proof of cost. Full details of these breeches of 'Occupation Contract' can be found in your contract.
To pay the legal and other costs of the landlord, incurred in recovering possession of the house, recovering the unpaid rent, and in any other activity undertaken with a view to enforcing the occupation contract, whether or not successful.
Payments can be made by Bank Transfer or Standing Order.
